Who We Are

divisionAI, a division5 company, builds tailor-made, AI-powered business management software. This policy explains how we handle personal data on divisionai.co and when you contact us. For data collected through this site, divisionAI acts as the data controller.

Data We Collect

Contact details you send us through the form or by email: your name, email address, and the content of your message.

Basic technical data generated when you visit the site — such as IP address, browser type, and pages requested — kept in server logs for security and reliability.

Analytics data about how the site is used, but only if you accept it — see Cookies & Analytics below. We use no advertising trackers and do not sell personal data.

Cookies & Analytics

The site sets no analytics or advertising cookies until you agree. On your first visit a banner asks whether we may measure how the site is used; nothing is stored and no analytics identifiers are set unless you accept.

If you accept, we use Google Analytics 4 (provided by Google Ireland Limited) to understand which pages are read and how visitors arrive. It is configured with Google Consent Mode v2: advertising storage, ad personalisation and ad user data are denied at all times, and IP addresses are anonymised. The legal basis is your consent (GDPR Art. 6(1)(a)).

If you decline, GA4 is loaded in a cookieless mode that sets no identifiers and cannot recognise you across visits. Either way the site works identically.

You can change your mind at any time using the "Cookie settings" link in the footer. Withdrawing consent is as easy as giving it, and takes effect immediately.

Google may process this data outside the EU/EEA under the European Commission's standard contractual clauses. For details of Google's own processing see Google's privacy policy.

How We Use It

To respond to your inquiry, prepare proposals, and manage engagements — on the legal bases of taking steps at your request before a contract and performing that contract (GDPR Art. 6(1)(b)).

To operate, secure, and improve the site — on the legal basis of our legitimate interest (GDPR Art. 6(1)(f)).

To measure how the site is used, where you have consented to analytics (GDPR Art. 6(1)(a)).

Sharing & Processors

Your data may be processed within the division5 group and by the service providers that run our infrastructure (hosting, email delivery, and — where you consent to analytics — Google Analytics), each bound by data-processing agreements. We never sell or rent personal data to third parties.

Retention

We keep inquiry data for as long as needed to handle your request and any engagement that follows, and afterwards only where the law requires it (for example, invoicing records). Server logs are rotated on a short cycle.

Your Rights

Under the GDPR you can request access to, rectification or erasure of your personal data, restriction of or objection to its processing, and a portable copy of the data you provided. You can also lodge a complaint with your supervisory authority.

To exercise any of these rights, write to team@division5.agency — we respond within 30 days.

Security

Data in transit is encrypted (TLS), access to systems holding personal data is restricted and logged, and client systems are engineered with role-based access controls from day one.
